Privacy policy

Senzia takes the protection of personal data seriously. This policy explains which data is processed, for which purposes, on which legal basis and which rights you can exercise, in accordance with the General Data Protection Regulation (GDPR).

1. Data controller

[to be completed], whose details appear in the legal notice, acts as data controller for the data collected through the site and for the management of the commercial relationship.

For the data our customers process through the application (call recordings and transcripts, data about their own contacts), Senzia acts as a processor, within the limits set by the contract concluded with the customer.

2. Data collected

  • Demo request: last name, first name, profession, business email address, phone number.
  • User account: identity, email address, organisation, role, authentication data.
  • Use of the service: phone calls handled by the voice agent, recordings, transcripts, summaries, appointments, technical logs.
  • Technical data: IP address, browser type, pages visited, timestamps, for security and proper operation.

3. Purposes and legal bases

  • Answering a demo request and getting back to you — legitimate interest in following up on a request you initiated (art. 6.1.f GDPR).
  • Providing and performing the service — performance of the contract (art. 6.1.b GDPR).
  • Security, abuse prevention, logging — legitimate interest (art. 6.1.f GDPR).
  • Invoicing and accounting obligations — legal obligation (art. 6.1.c GDPR).
  • Sending commercial information — consent, which can be withdrawn at any time (art. 6.1.a GDPR).

4. Recipients and processors

Your data is accessible to the team members who need it and to the technical providers acting on our behalf: hosting, transactional email delivery, telephony, transcription and artificial intelligence models, application monitoring. These providers are bound by a processing agreement compliant with article 28 GDPR and do not use your data for their own purposes.

No data is sold or transferred to third parties for advertising purposes.

5. Transfers outside the European Union

Data hosting is located within the European Union. Where a processor is established outside the Union, the transfer is framed by an adequacy decision or by the European Commission's standard contractual clauses, together with supplementary measures.

6. Retention periods

  • Demo request not converted: 12 months from the last contact.
  • Account and service data: for the duration of the contract, then the retention period agreed with the customer.
  • Accounting documents: 7 years, in accordance with Belgian law.
  • Technical logs: 12 months at most.

7. Your rights

You have a right of access, rectification, erasure, restriction, objection and portability, as well as the right to withdraw your consent at any time. These rights are exercised by email at larry@ai5.be. Proof of identity may be requested. We answer within one month.

If you are dealing with a Senzia customer rather than with Senzia directly, address your request to that customer, who is the controller; we assist them in handling your request.

8. Complaints

You may lodge a complaint with the Belgian Data Protection Authority, rue de la Presse 35, 1000 Brussels — contact@apd-gba.bewww.dataprotectionauthority.be.

9. Cookies

The site only uses cookies strictly necessary to its operation and to session security; they do not require consent. No advertising cookie or third-party analytics tracker is placed without your prior agreement.

10. Security

Data is encrypted in transit, access is restricted to authorised persons and the environments are covered by technical and organisational measures proportionate to the risk. In the event of a data breach likely to result in a high risk to your rights, you will be informed in accordance with article 34 GDPR.

11. Changes

This policy may be adapted to reflect legal or technical developments. The date of the last update appears at the top of the page.
